Overall responsibility:
As a federally owned enterprise, the Deutsche GesellschaftfurlnternationaleZusammenarbeit (GIZ) supports the German Government in achieving its objectives in the field of international cooperation for sustainable development. GIZ International Services is an independent operational department of GIZ. Our clients include international institutions, governments and private businesses with global operations. GIZ IS has been in operation in Ethiopia for the past 10 years.
GIZ IS Africa regional office has started operations in Addis Ababa, effective 1st October 2013.The regional office oversees all GIZ lS projects in Africa and the activities in all sub-offices on the continent.
Under the direct supervision of the regional director the office manager will be in charge of the following
Key functions;
• Manage the office of the director, including meetings, workshops, etc.
• Handles all financial matters of the office together with the finance department.
• Handles all business travels of the director and the staff of the Africa office and visitors to the office Documentation
• Handles all documents of the Africa office.
Administrative tasks
• Monitor monthly settlement of cost of telephone, internet, electricity, security, etc. of the Africa office.
• Monitor yearly insurance and inspection of vehicles of the Africa office.
• Supervise drivers and other support staff of the Africa office.
• Apply and process visa for travel of the regional staff as well as visiting guests.
• Prepare and coordinate workshops, conferences and meetings.
• Negotiate prices and enter in to agreement with hotels guest houses travel companies and other service providers on behalf of the Africa office.
• Follow up on deadlines set by the director.
• Prepare the annual budget of the Africa office and cost monitoring.
• Handle all administrative matters of the Africa office with the GIZ country office in Addis Ababa.
Required qualifications: First degree in. office management /and/ or secretarial science or equivalent
Further Proficiencies & Skill: minimum of 5 yrs. experience in a similar position
Terms of employment: Contractual.
Salary: Attractive and negotiable.
The ideal candidate is a service-oriented person with a strong command of the English language and good communication skills. Knowledge of German and/or French is an added advantage.
