Administration / Human Resources Officer | RESIDENCE CHIEF, for the Residence of H.E the Ambassador @ Embassy of the United Arab Emirates

The Embassy of the United Arab Emirates, in Addis Ababa, is seeking to recruit:
1. Administration / Human Resources Officer
Duties and Responsibilities:
Human Resources management;
- Provide advice and assistance on staff recruitment.
- Prepare notices and advertisements for vacant staff positions.
- Schedule and organize interviews.
- Participate in applicant interviews.
- Conduct reviews, assessments and reference checks on potential candidates.
- Prepare, develop and implement procedures and policies on staff recruitment.
- Make sure of the staff annual leaves are according to the approved policy.
- Establish and maintain proper data base and filing system for all staff members.
- Organize trainings and workshops for the staff and prepare feedback reports.
- Monitoring staff performance and progress, according to responsibilities and duties, to ensure good standard.
- Prepare monthly, quarterly and annual evaluation reports, for staff members.
- Keeping the staff information in appropriate place and keep its confidentiality.
- Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce documents and maintain presentations, records, and databases.
- Maintain office files and documents that relate to HR and administration.
- Monitor and maintain attendance records for the embassy staff.
- Process Allowance payments.
- Resolving staff disputes in a timely manner.
Administration tasks:
- Ensure the smooth flow of work within the staff.
- Receive and screen all correspondence and other documents addressed to the embassy, and refer them the concerned staff.
- Consolidate monthly requests for office supplies for the embassy.
- Assist in periodical performance review, auditing and evaluation.
- Assist in the areas of public relation works.
- Attending meetings, as necessary, taking minutes and keeping notes.
- Documenting significant events and maintain appropriate records.
- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
Qualifications and Experience:
- At least University Degree, in Human Resources management, Business Administration, Public Administration, or any other relevant field.
- 5 years and above in Human Resources management Business Administration, Public Administration, or any other relevant field.
- Fluency in Amharic, English and Arabic is a Must
- Excellent computer skills, including: Microsoft Word, Outlook, PowerPoint, Excel, Access, internet. .etc
PERSONAL SKILLS:
- Able to work on own initiative and with little supervision.
- Good communication skill.
- Punctual and able to meet deadlines.
- Excellent quality to develop and maintain good working relationship with colleagues.
- Able to work as part of a team.
2. RESIDENCE CHIEF, for the Residence of H.E the Ambassador:
Duties and Responsibilities:
- Overall monitoring and Supervision of Residence Staff.
- Responsible for All Purchase and Shopping needs of H.E Residence. PrepareI organize All kinds of Events, Receptions, invitations at H.E Residence.
- Arranging All matters concerning H.E appointments, visits, invitations.. .etc
- Handling All matters of H.E outside visitors, including visa, hotels/ flights reservations.
- Communicate with Governments authorities for any need of H.E Residence.
- Any other Duties as may be assigned by the Ambassador. Required Qualifications Potential Candidate must posses the following:
• Degree/Diploma in Hotels I International restaurants management, Catering, Nutrition or any other related field.
• At least Five years experience in Hotels/international restaurants managements, Catering, Hotel personnel management, or any other relevant field.
• Fluency in English language is a Must, fluency in Arabic language is a big advantage.
• Literacy in basic computer skills.
• Basic First Aid skills.
• 2nd. Grade driving License. and experience:
