Job Description
Reporting and Documentation,
- Maintenance of Merlin Ethiopia project and program documentation systems for all program and grant activities; including monitoring donor funding plans and schedules.
- Draft, submit and negotiate project agreements with government stakeholders.
- Participate in and strengthen field assessments, studies and surveys.
- Contribute to the development of project proposals, including context analysis, data analysis, design, drafting and submission.
- Contribute to the development of organisational or programmatic strategic planning
- Maintain and monitor report planning and schedule; includes drafting, editing and reviewing donor reports, in liaison with field teams.
- Participate in coordination meetings and mechanisms and represent Merlin at public forums.
- Conduct monthly and ad hoc field visits to support project management teams; may include provision of gap-filling support of field offices, in absence of senior staff.
- Minute-taking in team meetings and planning sessions.
- Conduct ongoing analysis of humanitarian situation in Ethiopia and share relevant information with colleagues.
- Responsible for assisting in the writing and submitting Emergency Update Reports, Emergency Situation Reports, and other information requests from Merlin HQ, donors, and partners;
- Produce case studies and human interest stories on projects in the Program Portfolio for donors, partners and internal purposes;
- Maintenance and updating of standardized formats in use by Merlin Operations (donor application and reporting formats, project matrices, reporting schedules, annual leave table, project checklists, etc)
- Administrative support for both Operations Manager and Country Director positions, including drafting formal correspondence and sitreps.
- To carry-out any other duties and/or responsibilities assigned by the Operations Manager.
- To be accountable, give feedback and appropriate information regarding requested and/or ongoing tasks to the Operations Manager for the duties performed for them.
Job Requirements
Essential Qualifications and Experience:
- BA/BSc Degree in Social Sciences
- At least three years in a NGO or government aid project programming environment.
- Demonstrated understanding of humanitarian context in Ethiopia
- Demonstrated experience of program administration..
- Strong reporting writing skills and experience in proposal development.
- Understanding of grant management, budgeting and forecasting.
- Excellent communication skills, including conflict management and negotiation.
- Strong ITC skills, including Microsoft Office.
- High level written and spoken English language skills
- Strong capacity for teamwork.
- A demonstrable ability to work unsupervised, in a well organized and efficient fashion
