Tulane International/Ethiopia (TIE) is an International non-profit organization that works in close collaboration with health sector in Ethiopia. TIE would like to invite qualified candidates to apply for the following vacant positions.
1. Job Title Code: 007-01
Job Title: Senior Accountant
Qualification: BA in Accounting from recognized University
Work Experience: Must have minimum of 7years relevant work experience in Accounting; good knowledge of financial principles and practices; International NGO or International Organization experience is a must.
Competencies Required: Strong communication (written and spoken) and interpersonal skill; must demonstrate strong interest and commitment; excellent coordination skill, time management, and ability to prioritize tasks; experience of working with Peachtree Accounting software is mandatory; good knowledge of Microsoft Office application software, MS Excel is mandatory; ACCA certification is a plus; willingness to work under pressure; ability to work under minimum supervision.
Duty Station: Addis Ababa and occasional travel out of Addis Ababa
Key Responsibilities:
1. Prepare payment order/ requisitions, (per diems, material purchase, rental payments etc) and handle travel settlement documents.
2. Schedule for cheque writing to suppliers and office utilities where documentation is completed with invoices, purchase order and payment requisition duly authorized by the appropriate organization officials.
3. Ensure that all payments, travel advances, staff claims, purchase orders have complete, and legitimate supporting documentation, and all transactions are properly authorized before Check payment.
4. Preparing check for approved payment voucher and effect payment in respect to organization policies and internal control procedures.
5. Prepare disbursement summary prior to replenishment.
6. Effect payment for workshops.
7. Regularly handle payroll.
8. Maintain books of accounts for Check register, Cash receipt, Advances, Accounts payable (supplies and utilities), Withholding tax payments, and statutory payments.
9. Produce withholding receipt to the concerned body and prepare monthly deductions summary for Government offices for settlement.
Perform detailed filing of finance transactions and maintain finance store with all materials and keeps records of all financial documents
2. Job Title Code: 007-02
Job Title: Senior Secretary/Cashier
Qualification: BA in Business Administration & Information Systems or Masters in Management from recognized University
Work Experience: Minimum of 7 years relevant work experience for BA and 5 years for MA in senior level secretarial, bookkeeping and travel arrangement.
International NGO or International Organization experience is a must.
Competencies Required: Must have demonstrable personal integrity, honesty and pleasant personality; collaborative with good communications and related interpersonal skills; very good knowledge of Microsoft Office application software; MS-Word, MS-Excel, MS-Outlook, and Internet browsing is mandatory; excellent typing skill both in Amharic and English; good communication skill both orally and in written form; establish and maintain effective working relationships with internal and external clients; easy adherence to schedules and timeliness.
The Senior Secretary/Cashier will need to have the required knowledge, skills and attitudes for completion of office procedures and book keeping skills.
Duty Station: Addis Ababa and occasional travel out of Addis Ababa
Key Responsibilities:
1. Support to execute management in secretarial work.
2. Maintain the general filing system and fill all correspondence.
3. Provide word processing and secretarial support to management
4. Work with travel agents recognized by the Organization on all travel needs of the Organization including but not limited booking flights (arrange the whole travel of the traveller including booking and confirmation process etc.)
5. Prepare and collect detailed travel report of each traveler based on the Organization guidelines (SOPS)
6. Responsible to facilitate meetings /trainings /workshops held by the Organization.
7. Responsible to follow up the payment for all travels (hotel, airline etc.)
8. Preparing and sending reservation letter to the hotel and responsible for settlements of hotel bills
9. Handle petty cash
10. Ensure adequate funds re available on petty cash, and keep it in safe custody.
11. Prepare disbursement summary for petty cash
12. Keep the petty cash fund in the safe box and replenish timely as per the organization policy.
13. Prepare petty cash payment voucher and effect payment after the proper approval
14. Ensure that all cash collections from customers, employees and other sources are justified with proper issuance of cash receipt and are deposited immediately to bank accounts.
15. Pay monthly withholding and income tax to the relevant tax offices within the dead line as per the instructions of the supervisors.
