AMREF in Ethiopia would like to recruit Executive Secretary for the Country Office.

Executive Secretary: - ETCO/HR/049/2013 

The job holder will be based in Addis Ababa country office.
 
Purpose of the Job:
To provide executive, administrative and management support to the Country Director’s office, and ensuring effective coordination, planning, monitoring of office administrations and logistics, reporting, and communication.
 
Key Responsibilities:
  • Review correspondence to the office and provides the relevant case history. Prepare routine responses for the country director or directs it to the most appropriate office.
  • Handle routine responses to correspondence and is overall in charge of receiving and dispatching official correspondence and communication (including letters, faxes, email, telephones etc).
  • Manage execution of events under the country director’s office including meetings, workshops, and other work-related gatherings.
  • Receive all visitors and act as the first point of references for all queries to the office and handle all phones calls to the office.
  • Monitor the office budget and support its preparation as needed.
  • Liaise with both internal and external contacts in coordination with the Country Director to ensure follow-up and execution of planned activities with AMREF collaborators, donors, partners, managers and staff.
  • Ensure processing and distribution of a variety of reports including minutes and monthly work reports from the office, including preparation of draft Board papers and other Executive reports, and consolidation of departmental reports.
  • Develop and maintain relevant databases and filing systems for optimal management of information and contacts.

Job Requirements

Education Requirements:
  • Bachelors degree in business administration/management or its equivalent
  • Knowledge of modern office procedures
Work Experience:
  • Minimum 6 years in office support, and office management in a busy office environment, and working at least three years in an international NGO.
Competencies:
Skilled in office management, team orientation; thorough understanding confidentiality, good communication skills & organization skills; working with people, commitment, and integrity.
 
Language Requirement:
  • Fluency in English and Amharic (excellent written, spoken and comprehension skills) required.
Employment Conditions:
This employment is two years renewable contract based on performance, institutional structures and resource.
