Logistics Assistant - PSI/Ethiopia

JOB SUMMARY

Under the overall guidance of the Associate Logistics Manager, the Logistics Assistant will be responsible for coordinating of transport services by ensuring that efficient and effective fleet is readily available to respond to the needs and demands of PSI Ethiopia program operations all over the country. S/he coordinates vehicles fleet, logistical and travel services in consistent with Vehicle Management Policy and Procedures Manuals of PSI/ET.

ESSENTIAL FUNCTIONS

·    
    Enforce all vehicle management related activities are performed in accordance to PSI Ethiopia vehicle management policy and procedures and standards of the organization.
·        Coordinate the allocation and availability of vehicles and taxi use for Addis and Field use and ensure that the transport needs for staffs are met.
·        Administer the utilization of fuel credit card/ fuel cash and coupons;
·        Produce monthly vehicle utilization report with full analysis.
·        Keep electronic database to measure Key Performance Indicators (KPIs) of the division i.e. Vehicle requests and payment lead times, maintenance/service schedules, vehicle handover/takeovers, vehicle rentals, rental vehicle inspections and other relevant KPI
·        Assist in the coordination of domestic and international air travels with the travel agent as directed by the supervisor
·        Ensures the annual inspection of vehicles, insurance renewal processes and insurance claims are done before the set deadline
·        Assure the electronically as well as paper documentation and archiving of everyday logistics documents, maintain filing for each vehicle, daily parking log book and other documentation of the unit
·        Perform driving activities to offices of service providers as instructed by the supervisor/s
·        Manage drivers according to PSI performance and learning system, including management by objectives, routine coaching and feedback, regular performance appraisals, and capacity building planning.
·        Perform any additional activities given by supervisor/s.

MINIMUM QUALIFICATIONS

Education and Experience

  BA Degree Management, Business Administration, Logistics or other related fields of study
·       3 years relevant experience in fleet management
·       3rd grade or above valid driving license
·       Knowledge of Auto Mechanics is advantageous

Skills
·       Fluency verbal and written communication; both in English & Amharic.
·       Skills in vehicle maintenance and minor repairs
·       Skill in operating GPS is advantageous
·       Excellent interpersonal, organizational skills.
·       Proven integrity and good human relation.
·       Flexibility is required regarding working hours and working locations all the times
·       Proficient   in  computer   skills  like  Microsoft   Excel   and  Microsoft Words  and  use  of  internet  and  other applications.
·       Able to work with minimum supervision
·       Work under pressure of tight and conflicting deadlines and handle multiple concurrent tasks.
