INTERN - ADMINISTRATION - ECA


 
These two positions are located in the Pass and ID Unit of the Security and Safety Service (SSS) of the Economic Commission for Africa.  The interns will work under the overall supervision of the Chief of the service. She/he will work for four (4) months full-time five days per week (35 hours) under the supervision of a staff in the work unit. The Pass and ID unit Office print ground pass and car pass for the clients to the organization such as staff, retirees, dependants, delegates, conference participants and Embassy staff, etc.
 
Responsibilities
 
- Develop an archiving database for thousands of records on staff, retirees, dependants, delegates, conference participants and embassy staff in relation to the ID Cards, car passes and badges;
- Assist in developing a new mechanism of maintaining of Administrative records of the Pass and ID Unit;
- Assist in compiling data which are necessary for the meetings and conferences;
- Introduce improved and manageable records where the staff of Pass and ID office can easily trace the records;
- Ensure the Pass and ID office work become more efficient when accessing data from the records as required;
- Provide assistance in the coordination of the work through expertise
- Assist in checking the work flow at Pass and ID office by introducing new procedures and technology.
- Assist in providing the coordination of the work with PCMS, CCU, ITSS and the concerned focal point in a suitable and fastest manner.

Education
 
Applicants must be enrolled in a degree program in a graduate school (Second university degree or higher); pursuing their studies in countries where higher education is not divided into undergraduate and graduate stages, have completed at least four year of full studies at a university or equivalent institution towards the completion of a degree. Be computer literate in standard software application; Have a demonstrated keen interest in the work of the United Nations and have a personal commitment to the ideas of the Charter; and have demonstrated the ability to successfully interact with individuals of different cultural backgrounds and beliefs, which include willingness to try and understand and be tolerant of differing opinions and views.
 
Work Experience
 
Applicants are not required to have professional work experience for participation in the programme.
 
Languages
 
English and French are the working language of the United Nations Secretariat. Fluency in English (both oral and written) is required for the Internship Programme. Knowledge of another official UN language is an asset.
