DEPOT MANAGER - Heineken Brewery


Job Description

Purpose of the job:
Manages the goods receiving, storage and (un)loading operations of the Depot cost efficiently, in line with Heineken standards and quality and SHE regulations in order to meet the internal and external customers service requirements.
 
 
Primary tasks and responsibilities:
 
Warehouse Planning
  • Plan warehousing resources (staff, space, and equipment), to run the operations cost efficiently while meeting customer service requirements.
  • Translate short/medium term sales, inventory and production plans into warehousing resource (staff, space, equipment) requirements.
  • Ensure planning and organization of resource allocation to each activity.
  • Balance resources utilization to cope with peaks of activity in a cost efficient way.
  • Quantify and clearly explain the impact on warehousing resource requirements of exceptional events. Balance cost vs. service level trade-off
  • Lead process performance improvements using appropriate TPM tools.
  • Process large amounts of data in a timely and accurate way
  • Foresee potential risks in the plan and define contingency plans
  • Ensure ways to improve loading and unloading of the trucks
 
Excellence in execution
  • Organize and direct the daily workflow of activities in the warehouse to meet the internal/external customer requirements.
  • Effectively run the warehousing operations
  • Allocate available resources (staff, space and equipment) to each activity according to the circumstances and give clear instructions to staff’s daily tasks
  • Monitor daily the progress of the warehousing activities, in terms of tasks completed, pending and expected
  • Ensure continuity of operations in unexpected circumstances
  • Ensure operations comply with 5S principles
  • Prioritize exception handling based on customer and channel characteristics (e.g. time windows, delay penalties)
  • Analyse customer complaints or problems occurred during execution
 
Asset Management
  • Select the appropriate assets and equipment (warehouse space, forklift, racks, loading docks, etc) to run the warehousing operation costs efficiently.
  • Ensure maintenance of the assets and equipment in good conditions in accordance with the regulations applicable (safety, maintenance, etc)
  • Identify the appropriate and cost efficient handling and storage equipment to meet long-term requirements based on available information (sales forecast, inventory and production plans, site layout development, etc.)
  • Ensure all the warehousing assets and equipment are maintained in good working according to Heineken standards and applicable regulations
  • Ensure all available assets are properly used according to the specifications
  • Anticipate need for replacement or upgrade of warehousing equipment and assets
  • Identify the mid- and long term assets requirements based on available information (sales forecast, etc.)
 
Management Reporting
  • Organize timely and accurate data gathering for warehousing reports
  • Interpret and analyze the warehousing reports figures and present and explain the reports to relevant stakeholders in a clear and concise way.
  • Provide information in a clear, concise and impactful manner
  • Analyze and interpret KPI performance and trends and prepare written reports including transportation KPIs and distribute to the corresponding stakeholders
  • Report critical problem areas and improvement opportunities
  • Advise relevant stakeholders on the impact of policies and process changes on productivity, safety and service level
 
SHE and Sustainable Warehousing 
  • Maintain the warehouse as a safe environment for both staff and visitors according to the applicable Heineken and local regulations.
  • Identify the SHE risks in warehousing operations
  • Propose and implement measures to reduce the risks of accidents/incidents/near misses/unsafe conduct in the warehouse operations and put appropriate processes in place for reliable and timely reporting
  • Stay up-to-date with the new SHE regulations applicable (Heineken and local) and communicate SHE awareness among the warehousing operations staff.
  • Support safety improvements using appropriate TPM tools.
 
Quality Assurance
  • Preserve the quality of the goods received into the warehouse and prevent quality defective products being moved downstream in the supply chain.
  • Ensure stock freshness policies are translated in the right physical movements
  • Maintain proper storage conditions for each type of good according to Heineken rules, standards and procedures and local regulations.
  • Lead 5S implementation in the warehouse.
  • Put measures in place to monitor and report product quality issues in a timely way.
  • Coordinate with various departments for market returns and quality blocked goods.
  • Separate quality defective goods in stock and ensure that they are not picked
  • Initiate improvement actions to prevent stock quality issues and initiate improvement actions to prevent quality issues and goods damages
  • Identify the quality risks in warehouse operations
  • Enforce Heineken quality standards are met by external service providers
 
Inventory Management
  • Ensure that all inventory movements are performed according to the instructions received and are properly and timely registered to guarantee stock accuracy.
  • Ensure timely and accurate registration of all goods movements
  • Prepare and analyze all the documentation required for inventory movements
  • Ensure that regular stock counting is organized
  • Monitor goods in stock are properly secured against risks of theft
  • Monitor written location identifiers are correctly placed and maintained
  • Ensure timely correction of inventory data in case of discrepancy with physical inventory
  • Investigate reasons for inventory data inaccuracy, put in place corrective measures
 
Warehousing Service providers management
  • Manage and monitor the execution of warehousing activities outsourced to warehouse service providers to guarantee the required level of service and cost.
  • Contribute to the make or buy decision of warehousing services.
  • Contribute to the selecting, contracting and implementation process of warehousing service providers
  • Monitor warehouse service providers performance as per service agreement
  • Monitor impact of changes in volumes or customer order behavior on the contracted capacity and activities (e.g. mixed pallets)
  • Translate changes in volumes and customer behavior into service requirements

Job Requirements

Additional criteria:
  • Education: Degree in Business Management, Economics, Supply Chain or equivalent
  • Experience: minimum 7 years of experience as Warehouse Manager. Provenience from the food sector is a plus.
  • Languages: very good command of English and Amharic
  • Computer skills: good command of MS Office (incl. Excel)
  • Able to write and create his own presentations and proposals
  • Good knowledge of International and local regulatory framework
  • Good knowledge of ISO 9000 Systems and, if possible, HACCP
  • Special conditions:
    • Available, in case of emergencies, 24 hours, 7 days per week
